Job description

We are looking for a reliable candidate to join our team on a part-time basis, to be responsible for the letting and sale of Rockdale’s sheltered rented and leasehold apartments in accordance with Rockdale’s policies and procedures. This includes managing the production of all legal documents and information required of Rockdale as a landlord in complying with all relevant legislation.

Successful candidates should have:

Knowledge of landlord and tenant law, law relating to leaseholders and older people’s social housing.
Knowledge of Local Authority waiting lists, choice-based lettings schemes and other alternative lettings practices.
Understanding of the responsibility of other agencies (eg Local Authorities, Social Services etc).
Demonstrable understanding of conveyancing process from reservation to completion.
Knowledge and/or experience of Leasehold property sales and transactions.
Experience working in a customer facing environment
Competence in using all MS software packages
Good communication skills, both oral and written
Excellent organisational ability
The ability to keep track of and record activity
The ability to work independently and as part of a team
The ability to resolve problems using their own initiative
The ability to be flexible depending on the demands of the service

Key responsibilities…

Leading and advising on tenancy agreements, sales and completion of contracts.
To accept notices of tenancy terminations and leasehold sales and re-let rented apartments and effect leasehold sales in accordance with set policies and procedures.
To discuss/meet with those interested in moving to Rockdale and assist with the completion of application forms if required.
To liaise with outgoing tenants to ensure that apartments are cleared of all items and to advise Finance and Maintenance of the termination date.
To inspect vacant apartments with the Senior Maintenance Officer.
To liaise with the administrators of the Housing Register, refreshing the waiting list monthly and contacting new applicants as necessary.
To advertise vacant properties to waiting list applicants. To produce property adverts to be updated on Rockdale Village website.
To shortlist applicants following an expression of interest and arrange on-site viewings with potential new residents. These will usually be conducted by the Resident Support Team. You may be required to conduct viewings as well on occasions.
To undertake verification and right to rent checks for new applicants in conjunction with the Resident Support Team.
To book and conduct a sign up for all new residents. Providing statutory information in relation to lettings and leasehold sales and relevant information on Rockdale Services.
To arrange property valuations and liaise with solicitors and/or conveyancers in relation to leasehold sales.
To produce the weekly lettings report and statistics as required but at least quarterly.
To prepare and submit quarterly returns to Sevenoaks District Council.
To complete CORE returns on all lettings and sales and submit electronically.
To provide occasional secretarial and administrative support to the Head of Property Management.
To be aware that the Association actively encourages a high level of involvement from residents in the management of their homes and the services provided, and to assist residents to become involved whenever possible.
To be part of the Rockdale Village team and to liaise with other departments and colleagues in relation to vacant and let properties to optimise void property turn around and rental and service charge income.
To undertake any other duties in line with the overall aim of the job as required by the Head of Property Management.

Senior Receivables Finance Assistant

Job description

We have an exciting opportunity for a Senior Finance Assistant to join our busy team to assist in maintaining the Association’s financial records.

A minimum of 5 years’ experience in a finance function is desirable and a good understanding of financial administration procedures. An understanding of working in the charitable or not-for-profit sector would also be desirable.

Experience of dealing with rent, service and support charge and fee income

Experience of reconciling rent and sales ledger control accounts

Monitoring of all arrears and appropriate collection procedures

Analysis of all receipts and bank statements, monitoring of benefit receipts, and liaising with local authorities and NHS

Experienced Excel user and good working knowledge of other MS packages

Excellent communication and organisational skills

Hours of work: Full time, 37.5 hours per week
